VDB Notarissen offers specialist signature and document legalisation services. Legalisation proves that your signature is genuine or that the document was issued by a competent authority. This is often required by companies, organisations and foreign authorities to ensure the authenticity of documents.

Our services include legalising signatures, certifying copies of original documents, and issuing statements of authorisation for persons acting on behalf of a company. Depending on your specific requirements and the type of document, we will determine which steps are needed for legalisation, certification or the issuing of statements.

  • Statements of authorisation for company representatives

If you are a natural person acting on behalf of a legal entity, we can issue a statement of authorisation. By doing so, the civil-law notary certifies that you are authorised to duly represent the legal entity, which is essential in important business transactions and international agreements.

  • Certificates of incorporation for international transactions

In international transactions involving Dutch companies, a certificate of incorporation is often required. In it, our civil-law notaries certify that the company in question actually exists and is incorporated in the Netherlands, who the shareholder(s) and director(s) are and what power of representation they have. Depending on the target country, this certificate may need to be provided with an apostille or legalised at embassy level. For countries that are signatories to the Apostille Convention, an apostille is sufficient; for non-signatory countries, a more extensive legalisation process through various bodies is necessary.

  • Certificate of residence for tax purposes

VDB Notarissen can assist you in legalising certificates of residence. This bilingual statement from the Dutch Tax and Customs Administration confirms that a legal entity has been resident in the Netherlands during a calendar year under the Double Taxation (Prevention) Treaty. Before a certificate of residence can be provided with an apostille or legalised at embassy level, it must first be legalised by the Ministry of Finance. Our specialists will guide you through this process and ensure proper handling according to the requirements of the target country.

  • Certified copies for official purposes

For situations where you do not want to hand over your original documents, we offer the option of having a Copie Collationneé (‘certified copy’ or ‘compared copy’) made. Our civil-law notaries confirm that the copy actually matches the original, allowing official bodies to be sure that the document is authentic.
